Seniors WeCare: Data & Privacy Policy

1. Purpose

Seniors WeCare is committed to protecting the privacy, security, and confidentiality of all client information, including Personally Identifiable Information (PII), account credentials, and Protected Health Information (PHI). This policy outlines how client data is collected, stored, accessed, and safeguarded.


2. Information We Collect

Seniors WeCare may collect the following categories of information:

  • Contact information (name, address, phone number, email)
  • Date of birth and demographic details
  • Medicare or ACA enrollment information
  • Health‑related data required for plan comparisons (PHI)
  • Account credentials created for Seniors WeCare platforms
  • Communication records (emails, call notes, forms)


3. Data Storage & Security

To maintain the highest level of confidentiality and integrity:

  • All client files are stored exclusively in PDF format.
  • Files are stored in secure, encrypted company cloud storage with restricted access.
  • Access is limited to      authorized personnel who require the information to perform job duties.
  • Passwords are stored using industry‑standard encryption and are never visible in plain text.
  • PHI is handled in accordance with applicable federal and state privacy laws.


4. Data Access & Use

  • Client information is used solely for providing Medicare, ACA Marketplace, and related insurance services.
  • Seniors WeCare does not sell, rent, or share client information with unauthorized third parties.
  • Information may be shared with insurance carriers only for legitimate enrollment or servicing purposes.


5. Data Retention

  • All client files, including PHI and enrollment documentation, are retained for 10 years from the date of last activity.
  • After 10 years, files are securely deleted or destroyed in accordance with data‑disposal best practices.


6. Client Rights

Clients may request:

  • Access to their stored information
  • Corrections or updates to inaccurate information
  • A description of how their data has been used


Requests will be honored in compliance with applicable laws.
